Get Ahead of the Pack operates this private digital service. This notice explains the information used by its Kayleigh Cleaning rota email workflow and how Gmail data is handled.
Gmail access
The workflow requests the Gmail gmail.send permission. It uses that permission only to send the two rota notifications described below. It does not read, search, label, or modify mailbox messages. The OAuth refresh token is held as a private Cloudflare Worker secret and used to obtain short-lived access for sending.
Information used by the rota
The rota processes booking references and dates from Beds24, guest-count totals where present, and the cleaning date, time, and cleaner saved in the rota. It also uses account names and short-lived session information to control access. Passwords and API credentials are configured as protected service secrets, not included in emails.
Kayleigh’s new-booking email contains check-in and check-out dates, the rota link, and a request to enter her availability. Lewis’s email contains those booking dates and the cleaning date and time Kayleigh saved. These messages do not contain guest names, guest contact details, payment details, or passwords.
Service providers and storage
Beds24 supplies booking information. Cloudflare Workers and D1 run the rota and store the booking dates, cleaning details, access-session records, and notification delivery status needed to operate it. Google Gmail delivers the messages. Each provider processes information under its own service terms and privacy documentation.
Rota records are kept while they are needed to coordinate cleaning and maintain the booking record. Lewis can correct or remove booking records in the rota. Emails already delivered remain subject to the recipients’ Gmail retention settings.
Cookies and security
The private rota uses a necessary session cookie to keep an authorized user signed in. Session tokens are stored as hashes in the rota database. Access is restricted to the named rota users, and the Gmail refresh token and other service credentials are stored separately as Cloudflare secrets.
